Challenges

  • The team maintaining the company’s price management documentation was faced with ever increasing manual work; despite their best efforts, the process was a highly time-consuming one. 
  • Employees felt demotivated due to the repetitive nature of their tasks. 
  • The sheer number of inputs caused a lot of errors to be registered; it was usually the case that reworks of the documentation were necessary, making for added delays

Our approach

After carefully analysing the client’s price management flow and the different systems – both Microsoft-based, as well as internal systems – involved in executing the process, we conclude on the course of action that would best fit our client’s business context: a robotic process automation (RPA) built on the UiPath platform. Our RPA solution is applied to the most significant and time-consuming part of the given process: keeping the price management documentation updated by getting information from and sending it to different stakeholders involved in the process.  

Working around the clock, the implemented robots perform validation activities for every request received from the business and log into the systems involved in the process to map out the gathered data within the required fields in the ERP. Finally, the robots push the created or updated quotation back to the requester for validation. 

Given the client’s worldwide distribution and the fact that several teams and roles were involved in performing the process, we opted for a waterfall methodology for the planning and process documentation stages of the flow. This way, we were able to ensure a clear and accurate mapping of the selling rates maintenance process – a rigorous basis for the next stage of the project: the implementation stage. At this point, we opted for the agile methodology combined with a milestone-based delivery, making for a fast and fitting implementation of the proposed RPA solution to the part of the process where it would bring the most value.

  • Process optimisation: by applying RPA to the most significant, time-consuming part of the until then manually performed process, the procedure gets a 45% boost in productivity, to the advantage of both company and people involved. 
  • Increased efficiency: the robots designed and developed by Accesa, using the UiPath platform, have the ability to stick to strict rules, regardless of workload, completely removing delays or the need to rework the documentation.  
  • Boosted employee satisfaction: employees were relieved of the repetitive, error-prone steps of the process and could focus their time and attention on more value-adding tasks. 
  • Automated reporting: due to the reports generated by the robots of the work they accomplish, manual reports are no longer necessary. In addition, the solution provides an electronic history of every action the robots have taken, providing everyone involved with a 100% accurate, clear overview. 
  • Flexibility: the provided RPA solution quickly scaled during peak periods, operating the given workload with the same speed and accuracy.
