Challenge

Challenge

Due to data fragmentation, the client couldn't gain a holistic view of their risk management processes. Tracking all processes separately has led to inefficient and time-consuming workflows, data inaccuracy and errors, limited visibility and compliance risks.

Solution

Solution

Our experienced team developed a ServiceNow-based Governance, Risk and Compliance (GRC) application to integrate and automate risk management processes and controls into a single function to streamline methodologies, leverage shared data, and increase transparency.

Impact

Impact

The centralised GRC solution enables faster contract creation thanks to standardised templates, automated reminders and change and history monitoring. The result was an improvement in efficiency, leading to lowered costs, streamlined operations, and reduced human error.

Project Overview

Banks must adhere to numerous regulations and standards, manage various risks, and maintain a strong governance framework to ensure financial stability and protect the interests of customers and stakeholders. Governance, Risk, and Compliance (GRC) processes are of the most importance in the insurance industry due to the highly regulated and risk-sensitive nature of banking operations. As such, developing automated GRC processes has become a priority for financial institutions and their tech partners due to their crucial role in streamlining operations, enhancing data accuracy, improving compliance tracking, and providing better visibility into risks.

With this and our client's main objectives in mind, our experienced team began strategically building and integrating a ServiceNow-based application. The cloud-based platform was chosen because it provides various IT service management (ITSM) tools to efficiently manage services and business process automation solutions for financial organisations.

We started by sorting through the existing documentation and cataloguing the legacy tools and platforms to be integrated with ServiceNow. Many of the out-of-the-box solutions provided by ServiceNow were further customised to better integrate into our client's workflows and ensure high performance. The solution our team implemented focused on creating the following benefits for the client:

  • Creation of one central, function overarching Risk & Control Framework;

  • Increased transparency of reporting;

  • Streamlined Compliance Reporting ready for use;

  • Enhancing system interoperability with procurement tools to optimise operations.

Results

Automated Contract Management: Since the implementation of the ServiceNow tool in the IRM project, we have achieved significant milestones in automating our contract management processes. Our team successfully streamlined contract initiation, tracking, and renewal procedures, saving substantial time and resources. Automating these processes increased efficiency and reduced the risk of human errors, ensuring compliance and enhancing the overall quality of our contract management.

Enhanced Transparency in Reporting: Using ServiceNow, we revolutionised how we handle reporting within the IRM project. We have achieved greater transparency in our project data and metrics through customised dashboards and reporting modules. Stakeholders now have real-time access to critical information, allowing for informed decision-making and improved project monitoring. This newfound transparency has increased accountability and trust across the project, fostering a more collaborative and effective work environment.

Structured Agile Approach: The implementation of ServiceNow has facilitated a more structured and agile approach to project management within the team. We adopted Agile methodologies, enabling us to respond quickly to changing requirements and deliverables. This approach has led to better project planning, increased adaptability, and improved resource allocation. Stakeholders have embraced this change, as it has resulted in more effective communication, tighter collaboration, and ultimately, more efficient completion of projects.
